Prospective Student Privacy Collection Notice

This privacy collection notice applies to prospective domestic and international students interested in studying at the University of Sydney.

We collect personal information directly from you when you:

  • Use our website enquiry forms for prospective students
  • Attend our Open Days and information events (in-person or online)
  • Participate in virtual or international fairs we host or attend
  • Take part in student recruitment campaigns (online or in person)
  • Navigate through our websites.

This information may include your: 

  • Name, email address, and contact details
  • Study intentions and areas of interest
  • Geographic location and demographic details (such as age, gender, country of origin)
  • Educational background and intended course level.

We may also collect personal information you provide about others, such as your parents’ or guardians’ contact details for emergencies. Please let them know if you share their information with us.

We may receive personal information about you from third parties if you have authorised them to share your information with us.

If you have registered with the University Admissions Centre (UAC) and nominated interest in University of Sydney programs, we will receive personal information from UAC such as your:

  • Name
  • Email address
  • Study intentions and interests
  • Geographic location
  • Demographic information
  • English proficiency
  • Disability and health information
  • HSC and examination results including ATAR outcome.

For prospective international students (who are not Australian or New Zealand citizens, dual citizens, or Australian permanent residents), we may receive personal information about you from:

  1. Preparation programs such as Taylors College, High Achievers Preparation Program, courses delivered by the Centre for English Teaching (CET), and the Sydney Foundation Program
  2. International articulation pathway providers
  3. Authorised education agents (please see the complete list of authorised agents’ here)
  4. Education event providers and associated recruitment fairs (both in Australia and internationally).

For information collected by preparation programs and education agents, we may receive detailed personal information to assess your eligibility for future enrolment and visa entitlements.

We use your personal information to:

  • Consider and process your application to study at the University of Sydney
  • Communicate with you about your application and study opportunities
  • Confirm and update your contact details
  • Invite you to participate in surveys to improve our programs and services (participation is voluntary)
  • Send you information about events, courses, scholarships, and other study options
  • Analyse and improve our recruitment, marketing, and service delivery
  • Personalise your experience with tailored content and services
  • Comply with our domestic and international legal obligations.

If you contact us via our website, we use your information to respond to your enquiry and to provide personalised communication, unless you ask us not to or unless you opt out of cookie collection. If you opt in to cookie collection, the University may deploy analytics, advertising, user behaviour analysis and system stability monitoring depending on the preferences you select.

We will also use your information in anonymised form for reporting or statistical purposes relevant to our functions and activities.

The University may use generative artificial intelligence (AI) and other machine learning tools to: 

  • Support teaching and learning activities 
  • Undertake research and analysis 
  • Improve administrative processes and service delivery 
  • Perform quality assurance and planning 

Where these tools are used, your personal information will be handled in accordance with the University’s Privacy Policy and applicable privacy laws. 

We may share your information with third parties when required or authorised by law, or with your consent. This may include:

  • Admissions centres, education agents, and pathway providers
  • Event organisers and partners involved in recruitment
  • Government agencies for legal compliance purposes
  • Service providers.

If you consent to website cookie collection, we may also share your information with our third party web service providers for analytics, advertising or system monitoring purposes, if you consent to this.

We will not share your personal information with anybody else, unless you have given consent, or we are authorised or required to do so by law.

We will hold your personal information for the minimum retention periods set out in the State Records Act 1998 (NSW), including unsuccessful applications, and will dispose of your information securely when we no longer required it for a lawful purpose.
