Organising a reunion can seem a little daunting. Don't worry, we're here to help! We can provide advice and support on the organisational and marketing aspects of your reunion, including:
When you are ready to get started, explore the steps below to plan a reunion and submit an expression of interest.
To add to the fun of your reunion, you can request a free Alumni Reunion Pack which includes a lucky door prize, music playlists, a trivia pack from the decade of your graduating year, and a guest list.
If you would like a free Alumni Reunion Pack for your reunion, let us know when submitting your expression of interest or email the Alumni Office at alumni.office@sydney.edu.au.
We also provide reunion invitees with the option to create digital yearbook, where alumni can share photos and let fellow classmates know what they have been up to since graduation.
To learn more about creating a digital yearbook, please email the Alumni Office at alumni.office@sydney.edu.au.
A successful reunion is all about teamwork. Forming a committee is a great way to get people involved and share responsibilities and tasks. Before you get started, refer to the reunion committee volunteer role description to get an understanding of what's involved.
Use your personal networks or search for alumni on LinkedIn to reconnect with former classmates and find out if they are interested in attending a reunion event or being a co-organiser.
Lost touch with someone who you think would be a great reunion organiser? The Alumni Office can reach out to them on your behalf if we have their contact details.
Once you have a reunion committee, it's time to plan the guest list. Do you want to invite those in the same year, from the same school, or the same faculty? Do you plan to invite partners? Any guest academics?
The Alumni Office can let you know how many people in your cohort we have contact details for, and how many are in your cohort overall. Having a ballpark figure can help you select a suitable venue.
Knowing approximately how many people to cater for can help you to choose the perfect venue, pencil in a preferred date, request function packages, secure quotes, and plan a budget.
The cost of hosting a reunion on campus varies from $100-$150 per person. For an on-campus experience, the Alumni Office can connect you with the relevant venue managers, so please reach out to us by emailing alumni.office@sydney.edu.au for more information.
Let the alumni team know if you're planning a reunion hosted outside of Sydney or Australia: we can help you promote the event with your former classmates via email.
The Alumni Office can collect RSVPs and ticket revenue on your behalf, taking some of the stress out of the process for you. We'll ensure we collect all the information venue managers will need, such as dietary requirements.
We'll update you at regular intervals on the RSVPs, so you and your committee can remind those who haven't yet confirmed their attendance about the event. Reunion organisers play an important role in circulating the invitation amongst their cohort, especially those whose emails we don’t have.
We'll list your event on this page and in the University's calendar to ensure it can be easily found by all your former classmates.
With the green light from the Alumni Office, it's time to start getting the word out and collecting registrations and payments.
We can support you in promoting your event by sending an invitation to your class and follow-up reminders to people who have not yet responded.
We encourage you to use the personal and professional connections of the organising committee and social media to reach out to fellow classmates and encourage them to help spread the word.
You may also choose to get in touch with relevant industry channels or outlets that can promote your reunion to your classmates.
As your reunion event draws nearer, it's time to finalise all the details with your venue and suppliers. By now you should have exhausted all of your promotional avenues and have a good idea about the final numbers.
Our venue managers are excellent event professionals and will help you with menu selection, room layout, AV requirements, producing a run sheet, and organising extras such as flowers, music and photography.
Venues and caterers will cater to guests' dietary needs, which the Alumni Office will collect when guests purchase their reunion tickets.
The Alumni Office is here to assist in making your reunion experience as enjoyable as possible and nurture a strong connection between your class or group and the University in the coming years.
We recommend having a member of the organising committee check attendee's event tickets upon entry. Providing name tags at the door will also help to encourage conversation between your guests.
If you would still like an Alumni Reunion Pack and did not indicate this when submitting your expression of interest form, then let us know by emailing alumni.office@sydney.edu.au.
At the conclusion of your event, please email us the final event attendance information, as well as any photographs and anecdotes from the event that you'd like to share with us. We love hearing about the fantastic reunion events that our reunion volunteers host.
We had a fabulous evening. The consensus on the night was that we try and do this again in 5 years rather than waiting 10 years!
