Personal information we collect directly from you

The University of Sydney when you apply for the Khuda Academy, we will collect the following personal information including but not limited to: 

  • Name 
  • Contact details
  • NESA ID 
  • School and interests in HSC/ATAR attainment 
  • Areas of interest 
  • Demographic information such as gender, international/domestic student and Aboriginal and Torres Strait Islander status and any accessibility requirements  
  • Free text responses

We may also collect information to verify your eligibility, this may include: 

  • Reports from your School regarding your academic results as required to remain in the program including ATAR results, school report cards and teacher references. 
  • Attendance records for compulsory engagement events for the program. 

You are not required by law to supply us with your personal details for the above purposes, however, if you choose not to provide the information requested, it may not be possible for the University to consider you for the Khuda Academy Program. 

Personal information we collect from third parties

We may receive information about you from authorised third parties if you nominate your interest in the University of Sydney with them. 

We will receive a range of personal information about you from your school including reports and references to support your application and assessment for potential Khuda Academy Program and your entry and participation requirements.    

How we use your personal information

  • review and assess your eligibility for the Khuda Academy Program
  • correspond with you and inform you about the outcome of your application
  • provide you with requested information and services
  • if you are successful in your application, document your acceptance of the Khuda Program and relevant terms, process your payments, and confirm your ongoing program eligibility 
  • undertake analysis and surveys to help us better understand the needs and preferences of applicants and students
  • perform quality assurance and planning for our School outreach engagement programs
  • prevent or detect fraud
  • comply with legislative requirements.

Personal information we share with third parties

For the Khuda Program it may be necessary for the University to share your personal information and your engagement and participation with the following: 

  • University of Sydney Khuda Program Team 
  • Your Parent or Guardian
  • Your School 

If you are successful in completing the Khuda Program and become a Khuda Scholar, the University will share de-identified information regarding the program and its impact to the following: 

  • Your School – program evaluation and outcomes.
  • Khuda Program Foundation and donors – reporting on applications, selection, progress reports and evaluations. 
  • Media, STEM research bodies and CSIRP – program impact and reporting only. 

The University will not otherwise disclose your information without your consent as stipulated in the Khuda Academy Terms & Conditions and as above, unless required or authorised by law. 

How we store and secure your information

Your personal information is recorded in the University's secure systems and student management environments. 

The University has security measures in place to safeguard personal information from misuse, and unauthorised access, use, modification or disclosure, including those in the University’s Cyber Security Policy 2019  and Acceptable Use of ICT Resources Policy 2019 . We retain your personal information in accordance with our Recordkeeping Policy 2017

If your Khuda Program application is unsuccessful, your personal information will be retained for a short period of time in line with our legal and business obligations. We dispose of personal information securely and retain personal information  safely and securely, in accordance with our Recordkeeping Policy 2017 and in accordance with the State Records Act 1998 (NSW) .  

Your rights in relation to your personal information
