Our Email and Electronic Messaging Policy explains the rules for using email and electronic messaging at Sydney. Staff and students must manage their official University email accounts, and check and respond to emails regularly.

It also covers how to use of electronic messaging for official communications and keeping information secure.

Staff, affiliates (including volunteers), and students: to understand their responsibilities in using email and electronic messaging.

IT support staff: to provide guidance and support for using these communication tools.

Broadcast emails and messages

Broadcast emails and messages are official University communications to broad groups (e.g., Staff News, emergency alerts).

Only authorised staff can send them, and recipients cannot opt out.

They cannot be used for unrelated activities, personal use, or distributing restricted or prohibited material.

Bulk emails and messages 

Bulk emails and messages are sent by a user to multiple recipients using a distribution list.

Distribution lists must have a clear title and generally include only University addresses.

Recipients must be able to opt-in or opt-out for non-University related topics.

Bulk emails and messages must comply with the Acceptable Use of ICT Resources Policy. They must not be used for:

  • bullying, harassment, or intimidation
  • junk mail, spam, or unauthorised commercial purposes
  • personal communications unrelated to the sender's University role
  • special interest topics if recipients haven't expressed interest.

Consequences may include:

  • limited or discontinued access to University ICT resources
  • disciplinary action
  • civil or criminal proceedings.
