Summary

The following terms and conditions do not apply to all coursework scholarships - some scholarships have their own unique set of terms and conditions. Please refer to the individual scholarship web page to understand which terms and conditions apply. For students already receiving a scholarship, you should always refer to your Letter of Offer to understand which terms and conditions you are bound to.

Coursework Scholarship Terms and Conditions

1.1.  These Terms and Conditions (“Terms”) apply to the undergraduate and postgraduate coursework scholarships offered by the University of Sydney (“University”) to the recipient student (“You”, “Your”).

1.2.  The specific details of the scholarship You have been offered (the “Scholarship”) are as set out in the Scholarship Details in Your Letter of Offer, and may include the following information:

a.  the name of the Scholarship;

b.  external funding or donor details for the Scholarship (if any);

c.  details of the benefits you will receive under the Scholarship, including the value of the benefits, duration, and frequency/method of payment;

d.  eligibility criteria, including residency requirements and the minimum marks You are  required to maintain  to be awarded and to continue receiving the Scholarship (“Eligibility Requirements”);

e.  whether You are permitted to enrol in part-time studies, defer or suspend your studies, or transfer to another course (“Enrolment Requirements”); and

f.   selection criteria, including the basis on which the Scholarship is awarded.

1.3.  These Terms commence from the date You sign Your Letter of Offer, and continue for the duration specified in Your Scholarship Details, unless terminated earlier in accordance with clause 6.1 or 6.2.

1.4.  By signing Your Letter of Offer, You accept the Scholarship on the terms set out in the Scholarship Details and these Terms.  If there is any inconsistency between these Terms and Your Letter of Offer, the details in your Letter of Offer will prevail.

1.5.  The University may make reasonable changes to these Terms to reflect changes in law, University policies, or scholarship administration practices.  If any changes are made that could significantly affect your rights or obligations, the University will notify you in writing as soon as reasonably practicable. Your Scholarship Details will not change unless You agree to a variation in writing by accepting a new Letter of Offer in accordance with clause 8.

 

2.1.  The benefits that apply to Your Scholarship:

a.  are as set out in Your Scholarship Details;

b.  may include one or more of the following: cash payments, an accommodation allowance, tuition fee offset, overseas student health cover (for international students only) and/or Student Services Amenities Fee (SSAF) cover; and

c.  must only be used for the purpose for which the benefit is specified.

2.2.  If the benefits listed in Your Scholarship Details do not cover Your entire expenses, You agree that You are responsible for the remaining liability associated with those expenses. 

2.3.  Prior to each payment or instalment of Your scholarship, the University may assess Your circumstances to ensure you continue to meet the ongoing Eligibility Requirements and Enrolment Requirements for Your Scholarship. 

3.1.  You agree that for the duration of Your Scholarship, You will:

a.  continue to meet each of the Eligibility Requirements and Enrolment Requirements set out in Your Scholarship Details, including any requirement to resume study after a period of approved suspension or deferral under cl 4.2;

b.  comply with these Terms;

c.  comply with all University policies and procedures applicable to students; and

d.  notify the University as soon as possible if Your enrolment status, academic performance, or personal circumstances change in a way that may affect Your ability to meet Your responsibilities under this clause.

If Your Scholarship Details specify that You are permitted to enrol in part-time study, defer or suspend your studies, and/or transfer your course, the following clauses 4.1-4.3 apply:

4.1.  Part-time study: Where permitted in Your Scholarship Details, if You are enrolled in part-time study (generally less than 18 credit points in a semester), Your Scholarship benefits will be adjusted as follows:

a.  Cash payments will be paid at the rate of 50% of the full-time benefit for the period of part-time study;

b.  Accommodation allowances will only be paid for the duration specified in the Scholarship Details and will not be adjusted on a pro-rata basis if you enrol in part-time study.

c.  Your tuition fee offset will be adjusted on a pro-rata basis to reflect Your part-time enrolment.

d.  Any Overseas Student Health Cover and/or Student Services Administration Fee benefits will continue to be paid in full, despite Your study load.

4.2.  Deferrals and Suspensions: Where permitted in Your Scholarship Details, You may defer or suspend Your Scholarship for up to two semesters, provided that You have received approval under the Coursework Policy (as amended or replaced) to defer or suspend Your course.  If Your deferral or suspension is approved, payment of Your Scholarship will be paused for the period of the deferral/suspension, and will resume when you return to Your studies.

4.3.  Course Transfer: Where permitted in Your Scholarship Details, once You have successfully transferred to another course under the Coursework Policy (as amended or replaced), Your Scholarship will automatically apply to Your new enrolment, subject to the following:

a.  If Your Scholarship is specified as being awarded for a fixed number of years, the duration of Your Scholarship does not restart when You transfer to a new course.

b.  If Your Scholarship is specified as being awarded for the “duration of your course”, the duration of Your Scholarship is limited to the full-time published duration of the new course minus any time already elapsed, up to a maximum duration of five years. 

5.1.  You are permitted to hold more than one Scholarship administered by the University provided that:

a.  each Scholarship is for a different Purpose, as specified in Your Letter of Offer; and

b.  only one of the Scholarships includes a cash payment valued at $8,000 per annum or more.

5.2.  You are permitted to hold additional cash payment Scholarships that are less than $8,000 per annum in total.

6.1.  You may terminate Your Scholarship at any time:

a.  by written notice to the Scholarships Office via the contact form at clause 9; or

b.  by terminating Your candidature with the University.

6.2.   If:

a.  You no longer meet the Eligibility Requirements, or any other requirement set out in Your Scholarship Details;

b.  You breach any of these Terms;

c.  You do not meet the requirements to hold more than one Scholarship concurrently, as described in clause 5;

d.  You are found guilty of misconduct as specified in the University of Sydney Student Discipline Rule, including but not limited to, where You have provided false or misleading information as part of your Scholarship application;

e.  Your Scholarship was awarded in error; or

f.  the funds provided to the University by any external organisation or donor are reduced or cease to be provided,

the University may propose termination of Your Scholarship by written notice specifying the grounds of termination and inviting You to make written submissions within a specified timeframe explaining why Your Scholarship should not be terminated.

6.3.  If, following receipt of Your submissions, the University determines that termination is appropriate, or if no submissions are received within the specified timeframe, the University will terminate Your Scholarship by written notice, effective from the date specified in the notice.

6.4.  Once the Scholarship has been terminated, it will not be reinstated unless due to administrative error.  

6.5.  Where Your Scholarship is terminated under clause 6.2, the University may reasonably request repayment of any scholarship funds that You were not entitled to receive.  Before making any repayment request, the University will provide You with notice setting out the reasons for the request and the amount sought to be repaid and invite you to make written submissions within a specified timeframe if you wish to dispute the request or propose an alternative repayment arrangement.

7.1.  The University collects and uses Your personal information for the purpose of administering and maintaining Your Scholarship, the University’s scholarship processes and for making Scholarship payments to You, in accordance with the University’s business requirements and legal obligations. 7.2.  Unless otherwise specified in Your Letter of Offer, if You are in receipt of a Scholarship funded by a donor or external organisation, You agree that the University may disclose the following information to that third-party for stewardship purposes and in compliance with contractual arrangements, noting that no other information will be shared without your direct consent: 

a.  Your first name;

b.  the name of Your degree;

c.  whether You have met and/or continue to meet the Eligibility Requirements and Enrolment Requirements for Your Scholarship.

8.1. If You experience exceptional circumstances and Your Enrolment Requirements do not permit You to study part-time, defer or suspend Your studies or transfer to another course, You may submit a written request to change Your enrolment.  All written requests and supporting documents must be submitted to the Scholarships Office using the appropriate form.

8.2. The University will consider Your request for variation to Your Scholarship Details in accordance with the Coursework Policy (as amended or replaced), within a reasonable timeframe and You will be notified in writing of the University’s decision.

8.3. Any variation to Your Scholarship Details takes effect from the date of Your acceptance of a new Letter of Offer.
